Where to start with AI in a small business

You do not need a strategy document to begin. Start with one job that repeats every week, and let the result tell you what to do next.

Most owners we talk to have the same two thoughts about AI: “everyone says I should be using it” and “I do not know where it fits in my business”. Both are reasonable. The way through is to stop thinking about AI as a whole and look at one ordinary week.

Look for work that repeats

Write down what you and your team did last week. Then mark anything that:

  • follows the same steps every time, such as preparing invoices or sending reminders;
  • is mostly reading and replying, such as answering the same customer questions;
  • means copying information from one place to another;
  • waits for someone to have a free hour, such as the weekly report.

These are the jobs where AI and automation help first, because the steps are known and the result is easy to check.

Pick one, not ten

It is tempting to list everything and plan a large project. A better first step is small: one job, done better, that people notice. Choose the job that costs the most time or causes the most frustration. If it goes well, you will have a working example and a team that wants the next one.

Keep a person in charge

AI is good at drafting, sorting and answering routine questions. It still makes mistakes. For anything that reaches a customer or touches money, decide who checks the result, at least at the beginning. Trust grows as you see how it behaves with your own work.

Use your own information

A general AI tool knows nothing about your prices, your opening hours or your policies. The useful results come when it works from your own information: your product list, your past answers, your documents. Gathering that material is often the real first task, and it is worth doing even before any AI is involved.

Judge it by time given back

You do not need complex measures. Ask one question after a month: is the job taking less of our time, with the same or better result? If yes, move to the next job. If not, change the approach or pick a different job.
